Track Dates Easily with a Free Dynamic Availability Calendar

If you run a small guesthouse, Airbnb, campsite, or need to manage meeting rooms—or even keep track of family gatherings or shared spaces—keeping track of availability can get tricky. That’s why I’ve created a Guest Availability Calendar in Google Sheets. It handles multi-night stays clearly and keeps all your bookings in one simple, visual view.

It’s dynamic, which means you only need one main calendar view. Enter your booking details, and the calendar highlights free and occupied slots automatically — no more juggling separate sheets or flipping back and forth between months.

The calendar is set up for three rooms by default, but it’s easy to adapt for more. You can change room names, expand the range, or even tweak it for other spaces like meeting rooms or shared facilities. Nothing is locked, so you have complete flexibility.

I’ve included clear instructions within the spreadsheet, and you’re very welcome to ask if you need a hand getting started.

Using the Calendar

Once you enter your bookings, the calendar updates automatically. Available nights are easy to spot, marked clearly so you can plan at a glance.

In the “Start Here” section, you can select the year, month, and start day. The calendar then highlights the bookings for that month, so you always know what’s coming up.

This calendar works well for a variety of needs, including:

• Small hotels or B&Bs
• Multiple Airbnb properties — see all bookings in one calendar instead of managing separate calendars
• Campsites
• Meeting rooms
• Other appointment-based bookings
• Personal events where scheduling is essential
