Simplify Bookings with Our Guest Availability Planner: Free Template Included!

If you’re hosting guests—whether it’s an Airbnb, campground, or small guesthouse—keeping track of availability is key. I’ve created a simple spreadsheet in Google Sheets to help you stay organised and make the most of your bookings.

This availability planner gives you a clear, colour-coded view of your guest schedule. It helps avoid double bookings and is especially handy if you manage multiple Airbnb properties, letting you see everything on one calendar.

I even used it myself while travelling overseas—all my bookings were sorted while I was on holiday. It’s that portable and easy to use!

Just save it to your Google Drive for access on the go. You can check availability at a glance and enter bookings straight from your mobile phone.


How to Use It

  • Select the Year and Start Day: Use the dropdown menus to customise the calendar for your needs.
  • Add Bookings: Type guest names into the “Guest Reservations” section.
  • Guest Details: Record extras like arrival times, vehicle info, or site preferences.
  • Colour-coded Calendar: The calendar fills in automatically, shading the booked days for Rm1, Rm2, and Rm3.
  • Now Includes a Dynamic View Calendar: This extra tab gives you a month-by-month view—great for quickly seeing what’s coming up.
  • Mobile Friendly: Access it easily through Google Drive, so you can check availability while you’re out and about.
  • Adaptable: You can duplicate and rename the sheet for each new year or tweak it to fit more rooms if needed.
